HUDManager 2000 FAQs Archive

Q. When am I required to start sending my files in the TRACS version 201A?
A. The TRACS system will require that all files sent on or after 5/1/2000 will have to be done with the new TRACS version 201A.

Q. What are the new relationship codes in 201A?
A. TRACS has changed the relationship codes in version 201A.
  'K' will replace 'A' and now mean Co-Head of Household.
  'D' will replace 'C' and mean Dependent.
  'N' is a discontinued relationship code.
Q. What is a Mat 15?
A. TRACS has created a Mat 15.  This is an address record that will have the tenant and unit address which is being used by REAC (Real Estate Assessment Center) for gathering information pertaining to the living environment/management complex they live in.

Q. What does 'S' as a special status code mean?
A. In 201A the new special status code of 'S' means Full-Time student. This replaces the "F" that was previously used.

Q. What is the difference between unit address and mailing address in TRACS version 201A?
A. Unit address is the physical address of the unit and will not change no matter who ives in the unit and the mailing address is the tenant's actual mailing address. This is only used when the mailing address is different from the unit address.

Q. Why does TRACS need these addresses?
A. The addresses are used by REAC (HUD Real Estate Assessment Center) for the following applications.

TASS (Tenant Assessment Subsystem) includes an income verification application that requires tenant addresses for mailing income discrepancy letters directly to each tenant.

RASS (Resident Satisfaction Assessment Subsystem) conducts tenant satisfaction surveys that requires unit addresses for mailing survey forms to the occupants of units selected by their sampling technique.

Q. If the Tenant will receive an income discrepancy letter directly, then what will the manager receive?
A. Due to confidentiality requirements imposed by the IRS when disclosing W-2 data, the managers will not receive a letter stating the discrepancy dollar amount. The manager will receive a letter to inform them that the tenant has been informed a discrepancy was found and they should expect to hear from the tenant shortly regarding the discrepancy.

Q. There is a new CE termination in HUDManager 2000 1.4, what is this used for?
A. "CE" termination is used when the contract has expired or is being combined with another contract. Also this code is used to terminate contracts that will not be renewed.

Q. What are the 4 reason codes for moving out a tenant?
A. In HUDManager 2000 1.4 there are 4 new reasons for moving out a tenant:
  1.  Owner initiated for nonpayment of rent
  2.  Owner initiated other then nonpayment of rent
  3.  Tenant initiated
  4.  Death of SOLE family member
These were added to be in compliance with Change 27.

Q. Does TRACS support worksheets A, B, C H and K?
A. NO. With the new version of 201A, TRACS will not longer accept these versions of worksheets.  If you have tenants using these worksheets you will need to contact your HUD office for guidance on this situation.
