1. Operating Systems

How do I verify that I am on the most up-to-date version of Windows?

It is extremely important that you are on the most up-to-date version of Windows prior to installing the v.1.8.1 upgrade. For a full list of the appropriate versions of Windows, go to www.realpage.com/affordable and click on the System Requirements link.

To verify the version of Windows that you are currently running:

  1. Go to your desktop and double-click My Computer.
  2. Locate and click the Help menu and select About Windows.

Note: If you are running an out-of-date Windows Service Pack, you can go to www.windowsupdate.com to download the most up-to-date version needed to run v.1.8.1 of all RealPage software (e.g., Windows 2000 Service Pack 4). If you have questions about upgrading to a specific Service Pack for Windows, consult your IT department.

2. Current Hot Fixes and Service Packs

I’m receiving the following error message: “Error BASE/1003 Variable does not exist: HFA_IPADDR – Invalid activate.xml file.” What do I do?

  1. Go to www.realpage.com/affordable and select Hot Fixes and Quick Steps.

I’m receiving a “Bad Command or File Name” message in HUDManager 2000 when I launch Crystal Reports Viewer and I’m on Windows 98. What do I do?

I’m receiving a “DOS error 2 File not found” message when I launch Crystal Reports Viewer in HUDManager 2000. What do I do?

I’m running HUDManager 2000 on a peer-to-peer Windows 98 network and am receiving a message that I have a missing H:\\HUD.TXT file. What do I do?

I’m receiving a MAT 30 error about my signature date format being incorrect. It’s currently displaying in YYYY/MM/DD format. What do I do?

If you are using MicroHUD 2000, you will need to:

  1. Go to www.realpage.com/affordable and select Downloads.
  2. In the Product field, use the drop-down menu to select MicroHUD 2000 v1.8.1M.
  3. Type your customer number and click Next.
  4. Verify the information on the MicroHUD 2000 v1.8.1M Downloads page and click Submit.
  5. Click and print the Installation Instructions.
  6. Click and print the Release Notes.
  7. Select either Option 1 or Option 2 for the download depending on the speed of your modem.

If you are using MicroHUD/RENT 2000, you will need to:

  1. Go to www.realpage.com/affordable and select Hot Fixes and Quick Steps.
  2. Click and print the Installation Instructions for HOT FIX 3240 under MicroHUD/RENT 2000.

My Special Claims report will not print when I run my voucher in Batch HAPS in HFAManager 2000. What do I do?

  1. Go to www.realpage.com/affordable and select Hot Fixes and Quick Steps.

  3. Click and print the Release Notes for Service Pack 1.8.2 under HFAManager 2000.

The OMB approval number is missing on my 50059 (certification). How do I get it on the form?

If you are using HUDManager 2000, HFAManager 2000, or HUDManager 2000 Plus, you will need to:

  1. Go to www.realpage.com/affordable and select Downloads.
  2. In the Product field, use the drop-down menu to select HOT FIX 3239.
  3. Type your customer number and click Next.
  4. Verify the information on the HOT FIX 3239 Downloads page and click Submit.
  5. Click and print the Installation Instructions.

  7. Select Download for the appropriate software you are using.

If you are using MicroHUD 2000 or MicroHUD/RENT 2000, you will need to:

  1. Go to www.realpage.com/affordable and select Downloads.
  2. In the Product field, use the drop-down menu to select MicroHUD 2000 v1.8.1M or MicroHUD/Rent 2000 v1.8.1R (please select the program you are using).
  3. Type your customer number and click Next.
  4. Verify the information on the MicroHUD 2000 v1.8.1M (or MicroHUD/RENT 2000 v1.8.1R) Downloads page and click Submit.
  5. Click and print the Installation Instructions.
  6. Click and print the Release Notes.
  7. Select either Option 1 or Option 2 for the download depending on the speed of your modem.

I input an earned income of $5,000 for a student in HUDManager 2000. My 50059 shows $5,000, but it should only display $480. How do I correct this?

  1. Go to www.realpage.com/affordable and select Downloads.
  2. In the Product field, use the drop-down menu to select HOT FIX 3249.
  3. Type your customer number and click Next.
  4. Verify the information on the HOT FIX 3249 Downloads page and click Submit.
  5. Click and print the Installation Instructions.
  6. Click and print the Release Notes.
  7. Select Download for the appropriate software you are using.

3. Printers

Do I need a new printer? Can I use my old printer?

If you use a dot-matrix printer, the new 50059 and 52670-A voucher detail forms MAY NOT print. HUD’s new mandatory forms are graphics intensive. Please be advised that you may need to upgrade your printer for both Windows and DOS compatibility.

Consult your IT department or your local computer store for a compatible printer.

5. Crystal Reports Viewer

When I try to launch Crystal Reports Viewer I receive an error telling me “Cannot auto launch hudcr.exe.” What do I do?

This is generally a conventional memory error. This means that you do not have enough memory to launch the Crystal Reports Viewer program. Please visit our web site at www.realpage.com/affordable and click System Requirements to view the required and recommended memory for this update. Please consult your IT department to seek further assistance with updating your conventional memory.

I am running my 50059 (certification) or my 52670-A (voucher) for the first time and the report is not generating. What do I do?

This error may be a result of the 2.0.2B switch not being set.

To activate the new TRACS format in MicroHUD 2000:

Open a DOS window and find the drive that MicroHUD 2000 is installed on. Your MicroHUD 2000 directory is commonly on your C drive, but it may have been installed on a different drive.

Your prompt should look like this (if the program is on your C drive): C:\>.

Enter cd hud (if “Hud” is the name of your MicroHUD 2000 directory) and press ENTER.

Your prompt should now read C:\hud. Type install and press ENTER.

  1. At the Install menu, enter 12 (HUD Regulations) and press ENTER.
  2. Enter 4 and press ENTER.
  3. Enter Y and press ENTER to confirm that you want to make this change. The “MAT file format” should now read “2.0.2B.”
  4. Enter Y and press ENTER.

To activate the new TRACS format in MicroHUD/RENT 2000:

Open a DOS window and find the drive that MicroHUD/RENT 2000 is installed on. Your MicroHUD/RENT 2000 directory is commonly on your C drive, but it may have been installed on a different drive.

Enter cd rent (if “Rent” is the name of your MicroHUD/RENT 2000 directory) and press ENTER.

  3. Enter Y and press ENTER to confirm that you want to make this change. The “MAT file format” should now read “2.0.2B.”
  4. Enter Y and press ENTER.

To activate the new TRACS format in HUDManager 2000, HFAManager 2000, and HUDManager 2000 Plus:

  1. Go to Utilities/Setup Options/TRACS Settings.
  2. When you open the TRACS Settings screen, the sender’s name will be highlighted. Press the F9 key.
  3. The TRACS extended Settings screen will open. Press ENTER three times to reach the TRACS version field.
  4. Press F2 and select 2.0.2B.
  5. Press F10 to save the change.

This issue may also surface if you changed the directory for your RealPage software but did not replicate the directory change for Crystal Reports Viewer at the time of installation. If so, Crystal Reports Viewer is probably located in a program default directory (e.g., C:\amhmft or C:\hud). If this is the case, please do the following:

  1. Select Start and click My Computer.
  2. Select the C drive.
  3. Locate your default software directory (e.g., amhmft, hud, rent). You should see three files: the CR9DEPLOY.reg file, the HUDcr.exe file, and the ST6UNST.log file.
  4. Hold down the CTRL key and select the letter A. The files should be highlighted, showing that they have been selected.
  5. Hold down the CTRL key and select the letter C. This will copy the three selected files.
  6. Locate the drive and directory where you installed the new version of your RealPage software (e.g., C:\hudmanager, T:\amhmft). Once you have the appropriate directory on the screen, hold down the CTRL key and select the letter V. This will paste the three files needed for Crystal Reports Viewer to run in the appropriate directory.
  7. Next, go into the program and switch your TRACS settings to 2.0.2B. For directions on how to accomplish this, please see “I have installed version 1.8.1 of my software. How do I select the new TRACS setting?” under TRACS 2.0.2B Switch.

The last possibility might be that the TRACS 2.0.2B switch needs to be “reset” (HUDManager 2000, HFAManager 2000, HUDManager 2000 Plus fix only).

  1. Go to Utilities/Setup Options/TRACS Settings.
  2. When you open the TRACS Settings screen, the sender’s name will be highlighted. Press the F9 key.
  3. The TRACS extended Settings screen will open. Press ENTER three times to reach the TRACS version field.
  4. Verify that the TRACS version is displaying 2.0.2B. If the field does display 2.0.2B, press ENTER three more times to return back to the TRACS extended Settings screen.
  5. Press F10 to save the change.
  6. Once you return to the Utilities menu, immediately exit out of the program by going to Exit/Exit W/O Backup.
  7. Log back into the software and go to Utilities/File Maintenance/Run File Maintenance for current project.
  8. Attempt to process your voucher or certification again.
  9. If you continue to have trouble, please contact RealPage Product Support at 1-800-704-0154.

How do I save my 50059 and/or my 52670-A while running the reports to the screen?

After running the report to the screen, perform the following in Crystal Reports Viewer:

  1. Select Word Document or Adobe PDF depending on your preference. (Note: If you do not have Microsoft® Word loaded on this computer, you will have to install the program before you are able to view a document saved in Word format. The same is true for any document saved in Adobe® format.).
  2. Once your preference is selected, click the Save icon (small disk). A Save as popup box will appear.
  3. Select the directory where you want to save the document.
  4. Before clicking Save, type in a name for the document.
  5. Click Save.

How do I print multiple copies of the 50059 in HUDManager 2000?

To print multiple copies of the 50059 in HUDManager 2000, HFAManager 2000, and HUDManager 2000 Plus:

  1. After processing the 50059, select to send the 50059 to the S(creen) first.
  2. Once Crystal Reports Viewer comes up, select the print icon in the upper left corner. You will receive a print dialogue box.
  3. Select the number of copies you would like to print.

Note: This will not create multiple copies of the HUD worksheet or any supporting documents (lease, addendum, etc.). To accomplish this, you will need to send the 50059 to the printer and at the Send Additional 50059s to the printer dialogue box, select the number of copies you wish to print. This step will only work for the lease, addendum, worksheet, and full lease.

To print multiple copies of the 50059 in MicroHUD 2000 and MicroHUD/RENT 2000:

  1. After processing the 50059, select to send the 50059 to the S(creen) first.
  2. Once Crystal Reports Viewer comes up, select the print icon in the upper left corner. You will receive a print dialogue box.
  3. Select the number of copies you would like to print.

Note: This will not create multiple copies of the HUD worksheet or any supporting documents (lease, addendum, etc.). To accomplish this, you will need to continue printing these documents the standard way and selecting the number of copies you would like.

6. TRACS 2.0.2B Switch

I have installed v.1.8.1 of my software. How do I select the new TRACS setting?

To activate the new TRACS format in MicroHUD 2000:

Open a DOS window and find the drive that MicroHUD 2000 is installed on. Your MicroHUD 2000 directory is commonly on your C drive, but it may have been installed on a different drive.

Your prompt should look like this (if the program is on your C drive): C:\>.

7. Shipping (CDs vs. Disks)

Did all existing customers receive a CD shipment with v.1.8.1?

Yes, Shipping of all CDs concluded November 2005.

How do I receive disks instead of a CD?

All existing customers should have received a CD shipment. If you are unable to download v.1.8.1 of the product and you are unable to use a CD, please complete the Disk Replacement Form online or fax in the form included in your CD shipment. You will need to fax your request to the number listed at the top of the form. You may also contact RealPage Product Support at 1-800-704-0154 for the form.

8. Automated Registration Activation

Do I have to do this?

While you are not required to activate your registration, you are required to have a valid registration code for each property in each copy of HUDManager 2000. The registration activation warning box will continue to display each time you enter the program until you successfully activate your registration code.

How do I make the registration activation warning stop coming up?

The warning message will continue to pop up each time you enter the program until you have either submitted your registration activation information successfully through TEMail or you have inserted the confirmation code assigned to your property. The confirmation code will be returned to you by e-mail if you submitted the file to RealPage through our e-mail address (registrationvalidation@realpage.com). Once you have received the confirmation number, please type the code in the appropriate space provided for you on the activation screen.

I inserted the confirmation code, but the warning box continues to come up. What’s wrong?

If you have typed in the confirmation code and the warning box continues to come up each time you start HUDManager 2000, first verify the code you are typing in. If the code is correct, please contact RealPage Product Support at 1-800-704-0154.

How do I e-mail the file to RealPage?

We have provided the following steps according to Microsoft Outlook. If you are unable to complete these steps, please consult your IT department for directions on submitting the file to RealPage.

  1. Open Microsoft Outlook and select File/New/Mail Message.
  2. In the To address line, type registrationvalidation@realpage.com.
  3. In the Subject line, type Registration Activation.
  4. Select Insert from the toolbar at the top of the e-mail and select File. If you do not have an Insert option on your toolbar, choose the image that resembles a paper clip. An Insert File popup will appear.
  5. In the Look in field, select the appropriate drive where HUDManager 2000 is located. Your HUDManager 2000 is commonly on your C drive, but it may have been installed on a different drive.
  6. Once the correct drive is selected, double-click the appropriate directory. Your HUDManager 2000 directory is commonly named amhmft, but it may have been installed in a different directory.
  7. Locate the file called activate.xml.
  8. Select the file and then click Insert.
  9. Select Send.

Where do I send the e-mail?

Attach the Registration Activation file to an e-mail and send it to registrationvalidation@realpage.com. If you are experiencing difficulties, please contact RealPage Product Support at 1-800-704-0154.

I tried to upload my activate.xml file on the web site and received an error. What do I do?

  1. Go to the RealPage affordable web site at www.realpage.com/affordable.
  2. Click Downloads and log in.
  3. Use the Product drop-down box to select HOT FIX 3238
  4. Before you run the download, be sure to print the Installation Instructions and the Release Notes.
  5. Follow the Installation Instructions to download the HOT FIX 3238.
  6. Once HOT FIX 3238 is successfully installed, log back into HUDManager 2000.
  7. Select OPTION 1 to activate your software.
  8. Select OPTION 2 to activate your software through our affordable web site.
  9. Select Y to print the instructions.
  10. Go back to the affordable web site and select Activate HUDManager.
  11. Follow the instructions that will guide you through uploading your activate.xml file.

9. Enhancements (General Questions)

The new TRACS 2.0.2B version changes the way you handle vouchers, special claims, non-citizenship code rules, and abated units. The new version (1.8.1) will also include the new OMB-approved forms—50059 and 52670-A. The regulation changes you’ll see on the screen are relatively minor; however, they bring TRACS into compliance with several of the changes made in the HUD Handbook 4350.3 Rev-1 in 2003.

The release notes and addendum to the User’s Guide posted on the product download pages as well as the “Changes in the Products” page contain a detailed list of the changes in the new versions. We recommend that you read these documents so you will know how the changes affect you. Some of the TRACS 2.0.2B changes include:

  • TRACS 2.0.2B requires that abated units must now be tracked separately from vacant units. Abated units are “units for which assistance cannot be paid due to natural disaster or health and safety reasons.”
  • Changes were made to the HAP Request form 52670-A (voucher cover sheet).
  • Changes were made to the HAP Request 52670-A form (voucher detail pages).
  • Changes were made to the 50059 form (certification).
  • Household assistance code “T” (temporary termination deferred status) will no longer be accepted by TRACS.
  • Member eligibility code “PV” is now a temporary code. It should be used only when the person’s eligibility is being verified. Full assistance is provided until the eligibility check is completed by the Department of Homeland Security (DHS).
  • A number of changes were made to the special claims requirements. The new special claims forms are included in this release. The daily contract rate calculation is now based on the actual number of days in the move-out month.

10. License Agreement

Where do I locate a copy of my license agreement for viewing or printing purposes?

A copy of the license agreement shown at installation is located in your product directory. The file is called “License.txt” and can easily be opened by Notepad for viewing or printing.

To locate the license agreement for MicroHUD 2000:

  1. Left-click on Start and select My Computer. Locate the drive that MicroHUD 2000 is installed on. Your MicroHUD 2000 directory is commonly on your C drive, but it may have been installed on a different drive.
  2. Double-click on your C drive or the drive that MicroHUD 2000 is located on.
  3. Locate your MicroHUD 2000 directory within this drive. The default directory for MicroHUD 2000 is C:\hud; however, your MicroHUD 2000 might be located in a different directory. Once you have located your MicroHUD 2000 directory, double-click the folder.
  4. Within your directory, you should be able to locate a file called “License.txt.” Click the License.txt file to open the license agreement for viewing or printing.

  1. Left-click on Start and select My Computer. Locate the drive that HUDManager 2000 is installed on. Your HUDManager 2000 directory is commonly on your C drive, but it may have been installed on a different drive.

What if I do not agree with the terms and conditions of my new license agreement?

If you do not agree to the software license agreement, you will need to contact RealPage Product Support at 1-800-704-0154. You will not be able to install the software.
