Q. If I buy OneSite Screening today, when can I begin deploying it to my sites?
A. Once your company has signed and submitted the master license agreement and the appropriate order forms, we can typically implement the first sites within 2 to 14 days, depending on how ready each site is for deployment. Deployment of OneSite Screening involves four simple steps:
  1. Environmental Readiness—Our data management team assists you in performing a quick check to ensure that your home office and site computers are ready for OneSite.
  2. Screening Settings—Our data management team gathers information to determine the desired screening settings for each site or region.
  3. User Management—Our data management team gathers information about your users and enters it into OneSite.
  4. Teletraining—Our data management team contacts each site and trains site and home office staff on using OneSite Screening. Training includes a tour of our OneSite Learning courses and 7- and 30-day follow-ups to ensure user satisfaction.
Q. If I buy OneSite Leasing & Rents today, when can I begin deploying it to my sites?
A. Once your company has signed and submitted the master license agreement and the appropriate order forms, it usually takes at least 30 to 45 days before we can begin to deploy OneSite Leasing & Rents at your sites. Before OneSite Leasing & Rents is deployed, RealPage consultants will present the OneSite Leasing & Rents iGuide to you during a system configuration workshop in which we will configure OneSite Leasing & Rents to your business and operational objectives and identify potential areas of process improvement. Once all system settings have been determined, your consultant will create your company template, which will enforce corporate decisions across all sites. After the template is complete and you have approved it, your consultant will schedule the data migration from your existing system into OneSite and will enroll your users in the appropriate training classes. This data migration is ideally scheduled immediately after your next accounting month end. Training is usually scheduled after data migration so that users can begin using the system as quickly as possible after training, which enhances knowledge retention.
Q. Do I need to use an implementation consultant if I buy OneSite Leasing & Rents?
A. Yes. OneSite Leasing & Rents is a centralized system with one database and a great deal of system flexibility. This centralized design provides an excellent opportunity for clients working in conjunction with RealPage consultants to realize two important benefits from OneSite:
  1. The ability to develop and implement consistent policies and industry best practices and to easily enforce these corporate decisions across all sites
  2. The ability to enforce consistency and integrity of data across the entire portfolio, thereby increasing reporting accuracy and timeliness

RealPage consultants are experts in the multifamily industry and have an in-depth knowledge of OneSite products. Our implementation consultants help you identify technology needs, plan for the strategic rollout of the OneSite product centers, evaluate and improve business operations, including industry best practices and reporting, configure and set up OneSite to maximize your benefits from the system and enhance your operations, plan and arrange for data migration and training of end users, and monitor end-user performance and satisfaction after each product center is rolled out.

RealPage consultants act as your primary points of contact with RealPage during the implementation to ensure a coordinated and seamless integration of OneSite. They provide project planning and management expertise, as well as project coordination for the entire implementation process. These services help to ensure a successful implementation that is accomplished on time and on budget. Portfolios of all sizes will benefit from the project management and expertise provided by RealPage consultants.

Q. How much does it cost to implement OneSite and train users?
A. Since each company has unique requirements and goals for a new system, no single implementation and training approach is right for every company. Therefore, RealPage consultants work with each new client to tailor the implementation scope and methodology to fit that client’s unique objectives. The cost of the implementation is based on the level of service RealPage provides to each client.

RealPage consultants work closely with each new client to define and develop a statement of work that outlines the specific tasks and timelines for deployment of each OneSite product center, identifies the person or group responsible for each task, establishes the dependency of specific tasks to each other, and ensures that appropriate RealPage and client personnel are available during the implementation as required. The statement of work plan provides an estimate of the cost and timeframe for the implementation based on the size of the portfolio, the timeline of the implementation, the product centers to be deployed, the level of training to be delivered, and the degree of involvement by RealPage personnel. RealPage does not provide fixed-fee implementation quotes and invoices clients only for actual time and expenses incurred during the implementation. We will be happy to discuss an implementation plan and cost estimate with prospects at any time during the sales cycle.

Q. Why do I need to purchase training for OneSite if it is so easy and intuitive?
A. All OneSite product centers are developed to be intuitive, to be easy to learn, and to follow industry processes for various functions and tasks. Due to the specialized nature of many OneSite product centers such as OneSite Facilities and OneSite Purchasing, minimal training is required before users feel comfortable with the application. OneSite product centers such as OneSite Leasing & Rents have very robust and extensive functionality and options to streamline the work of your employees. It is human nature to resist change and cling to “the old way of doing things.” Training helps to ease the transition to the new application and as well as to new policies and procedures that might be implemented in conjunction with it. Training ensures that users are comfortable with performing their jobs on the new application, thereby eliminating delays in using the system and the resulting loss of income and productivity.
Q. Do I really need two days of post-migration?
A. Yes. Post-migration is perhaps the most important step in migrating your data to OneSite. Most existing property management systems are either manual or decentralized with data stored at the sites and periodically consolidated for reporting. These types of systems inherently allow a wide variety of policies and inconsistency of data across portfolios.

Migrating to a centralized database such as OneSite provides an excellent opportunity to scrub existing data and enforce policy and data consistency across all sites. Post-migration provides the first look at newly migrated site data in a workshop environment with RealPage instructors. Students are walked through a review of the newly migrated data to ensure accuracy, consistency, and integrity of the data. In addition, site activity since the old system backup was sent for migration is entered into OneSite, providing a valuable reallife training opportunity with actual site data and assistance from RealPage trainers.

Q. Can I train my own OneSite users? What tools does RealPage offer to support client-delivered training?
A. Yes, clients will soon be able to provide their own comprehensive end user training on OneSite. RealPage is currently developing the tools to support this effort, but only a limited number of these tools are available today. RealPage currently offers regularly scheduled OneSite seminars as well as custom training classes.

We strongly recommend that RealPage trainers train the first few sites to be deployed on any OneSite product center. In addition to the site users, client trainers should attend this first class to experience the class from a student’s perspective. Client trainers would then attend RealPage’s train-the-trainer classes for selected OneSite product centers. Participants are trained on OneSite product center functions, as well as how to perform OneSite training database setup and maintenance and how to verify the minimum system requirements for OneSite product training. Train-the-trainer classes include technical tips and hints, troubleshooting techniques, and effective training skills required for providing OneSite product training.

In order to support client-delivered training, RealPage is currently developing training databases that may be licensed by clients to support client instructors in providing OneSite training classes. These databases are expected to be available for client use in conjunction with the release of OneSite Leasing & Rents Release 3.0. RealPage training guides (tGuides) will also be available for use by client trainers.

Q. Does RealPage offer training for its software products?
A. Yes. The RealPage training department offers a wide variety of training classes for its software products. Class information is available from the training coordinator at 1-87-REALPAGE, via e-mail at training@realpage.com or on the web site.
Q. I would like additional information on implementation and training before selecting OneSite. Where can I get this information?
A. Your sales representative can arrange for a conference with one of our implementation consultants, who can explain our typical implementation and training methodology. Upon receiving your request, our consulting department will prepare a statement of work that will provide an initial estimate of implementation and training costs to meet your specific implementation and training needs.
