New Document Management System from RealPage Streamlines Business Processes for Multifamily Properties

(April 23, 2007) —RealPage, Inc., a leading provider of products and services to the multifamily industry, today announced the release of a new Document Management System that provides electronic storage, retrieval, security and archiving of all documents and forms associated with a property management company’s business processes and procedures.

The Document Management System employs EMC’s Centra® Governance Edition to provide trustworthy storage of electronic records and other digital information required for compliance and governance purposes. Critical documents such as resident leases and tenant income certifications are retained and managed in a manner that better ensures admissibility, promotes evidentiary strength and supports governance processes.

“The Document Management System enables property management companies to maintain an electronic file system for their properties,” said Ranjeev Teelock, vice president of affordable housing for RealPage. “Property managers don’t have to worry about sending mounds of paperwork to the home office. All documents can be uploaded from a user desktop, the Internet or scanned directly from within any of the OneSite® on-demand software and sent to the home office.”

The system enables users to store and manage all documents and templates in one central, secure storage area, creating a “paperless office” that minimizes the potential for data loss from fires or natural disasters. Documents can be downloaded and customized to meet the needs of each company or property. The Forms Library within the system ensures that properties are using the most up-to-date versions and templates.

“It delivers a complete picture of each transaction and customer relationship,” said Teelock. “In addition, it tracks document versions, allowing staff to easily see which version each resident is currently using.”

The system also reduces expenses associated with manual document handling such as invoices and reports. Electronically stored documents can be accessed from any location with appropriate rights, and quickly retrieved through the indexed search functionality by resident, unit number, document type, vendor, invoice or bank account number.

In addition, users can customize “packets” and “cabinets” for better organization and management. Packets allow users to group together documents related to specific business processes, such as move-ins, move-outs, renewals and recertifications. Users can define the documents required for each business process and then electronically manage the approval process. For example, a move-in packet can be automatically created when a prospect applies at a property. Staff can monitor the packet in the Document Management System to ensure that all of the documents required have been competed.

Cabinets allow users to store documents that relate to a property, building, floor plan, unit, bank account or a generated report. Items such as marketing and advertising materials, reports, audits, certifications, warranties, and bank deposits and receipts can be stored and easily retrieved. For instance, the purchasing cabinet allows users to upload and store scanned images such as invoices, vendor insurance and vendor credits.
