Overview of TRACS 2.0.2C and TRACSMail Changes
TRACSMail Update Highlights
As part of HUD's transition from TRACSMail to the Integrated Multifamily Access eXchange (iMAX), all users transmitting TRACS files to HUD will go through double authentication. This requires the use of both a TRACSMail and a Web Access Secure Systems (WASS) ID. Although OneSite Leasing & Rents Affordable will continue to automatically send TRACS files using the TRACSMail ID entered during setup, individual users will be required to enter their WASS ID for each TRACS submission.
iMAX goes into production on October 13, 2008. There will be a 3 month transition period for the industry to move from TRACSMail to iMAX. TRACSMail will officially be discontinued on January 31, 2009.

TRACS 2.02C Update Highlights
Some of the new updates for TRACS 2.0.2C include:
Collection of the race and ethnicity at the member level
- Modified descriptions of the race and ethnicity categories
- Increase in the number of race categories
- Allow for the collection of race and ethnicity for each household member and not just the head of household
- Ability to select all race categories that apply to the household member
New dependent codes
- C Dependent whose custody is jointly shared by more than one family but who does not receive a dependent allowance. Such a persons child care expenses count toward the child care allowance where applicable (count toward unit size).
- J This is not a new code, but the definition is different. Dependent whose custody is jointly shared by more than one family and who receives a dependent allowance along with a child care allowance where applicable.
- K Dependent is in the unit 50% of the time or more. Included in counts for income limits and family size
New eligibility waiver codes
- AGE Age waiver for an elderly property
- INC Income (for subsidy types other than Section 8)
- NEAR Near elderly
- DSBL Waiver for a non-disabled person to move in to a property for the disabled
- OTH Other waiver not covered by the above codes
Student status
- Student status field added to the MAT 10, Section 3 record
- New termination code added for the case where a household is terminated as a result of the student rule
New Termination of Assistance codes
- DS Dual subsidy
- ST Ineligible student in Section 8 housing
Noncitizen Rule modifications
- Household Assistance Status Code Full Assistance Pending Verification and Prorated Assistance have been redefined
- ND (No documentation) Member Eligibility code added
Certifications for market rent tenants
- Required to submit a MO certification under the previous subsidy for a market rent tenant.
All rent algorithms standardized for the industry
- This will eliminate the $1 rounding difference between the site and the contract administrator.
Tenant unable to sign indicator is now labeled extenuating circumstances
- 0 = no extenuating circumstances
- 1 = Late annual recertification due to extenuating circumstances
- 2 = Late annual recertification due to owner/agent delay
- 3 = Late annual recertification due to third party delay
- 4 = Late annual recertification - court order requires restoration of subsidy on the recertification date
