Change Preparation Checklist for OneSite Affordable

OneSite Leasing & Rents HUD will be updated to incorporate the necessary requirements for the 2.0.2C changes during the December 13, 2008, monthly release. It will be necessary for OneSite users to manually activate TRACS 2.0.2C at the appropriate time following the release. It is important to note that the program will continue to automatically send TRACS files using the TRACSMail ID entered during setup; however, individual users will be required to enter their WASS ID for each TRACS submission.

TRACS will not accept files using the new 2.0.2C format until December 1, 2008. Files in the new format will fail TRACS if they are received prior to this date, and you will not be paid.

Use the following checklist to assist with your smooth transition to TRACS 2.0.2C.

  1. Ensure that all staff who will be submitting TRACS files have a valid Web Access Secure Systems (WASS) ID and password. For more information on the TRACSMail change and obtaining a WASS ID, click here.
  2. If applicable, check with your Contract Administrator to make sure they are ready to receive TRACS files in 2.0.2C format.
  3. Train staff on TRACS 2.0.2C changes.
  4. Process your January 2009 HAP request (voucher created and sent on or after December 1, 2008).
  5. Confirm your desired transition date.
    1. You must transition to iMAX by February 28, 2009.
    2. You must transition to TRACS 2.0.2C by March 31, 2009.
  6. Manually change the iMAX and TRACS 2.0.2C independent settings found in Setup > Affordable > (Compliance) General settings. The transition to iMAX may be made in advance of implementing 2.0.2C. Selecting the 2.0.2C setting will automatically force on iMAX.

Change Preparation Checklist for HUDManager

HUDManager and HUDManager Plus users must ensure that they are ready to move to the TRACS 2.0.2C prior to installing the update. The new 2.0.0 HUDManager update will be available for download on December 1, 2008, and shipped via CD in mid-January 2009. The 2.0.2C setting will automatically be selected in this version.

Please note that internet access will be a requirement to submit TRACS files with the new iMAX system!

  5. Process your January 2009 HAP request (voucher created and sent on or after December 1, 2008).
  6. Confirm your desired transition date.
    1. You must transition to iMAX by February 28, 2009. As a reminder, version 2.0.0 will not contain iMAX. All TRACS files generated in version 2.0.0 must be manually uploaded into iMAX.
    2. You must transition to TRACS 2.0.2C by March 31, 2009.
  7. Install version 2.0.0. The 2.0.2C setting will already be selected.
